🔬 Welcome to the EMMA User Guide

Welcome! This guide provides everything you need to know to navigate our EMMA microscope reservation system, book time slots, and manage your appointments.

🚀 Getting Started: Account & Login

Before you can make a reservation, you'll need an account.

Registration

1. Creating Your Account

  1. From the homepage, click the "Register" button.
  2. Fill out the required fields.
  3. Accept the Terms and Conditions
  4. Click the "Register" button.

2. Email verification

  1. After registration, an activation link will be sent to the email address provided.
  2. Please click the link to verify the email address!

3. Admin approval of registration

  1. After email verification, additional administrator approval of is necessary
  2. Please wait until admin approval, a notification email is sent upon available access to EMMA is ready.

4. Logging In

  1. Navigate to the "Login" page.
  2. Enter your Username and Password.
  3. Click the "Log In" button.
  4. If you've forgotten your password, use the "Forgot Password?" link.

5. Logging Out

  1. To log out at any time, click your profile icon in the top-right corner of the navigation bar.
  2. Select "Logout" from the dropdown menu.

🗓️ How to Book a Reservation

Our system is built around a central booking calendar.

  1. Navigate to the "Calendar" page.
  2. Select Your Microscope: Use the filter to choose the microscope you wish to reserve.
  3. View Availability: The calendar will display all booked (gray) and available (white) time slots. Use the arrows to navigate between different days or weeks. Select the exact date to list available time slots.
  4. Choose Your Slot: Click on an available time slot.
  5. Confirm Details: The selected date and time slot appears.
    • Please verify the date, time, and instrument.
    • Click "Confirm Appointment".
  6. Your reservation is now complete! It will immediately appear in your personal appointments list.

You can easily view all your upcoming reservations or cancel them if your plans change.

How to See Your Appointments

  1. Navigate to the "Reservations" page.
  2. This page will provide a complete list of all your upcoming and past reservations, sorted by date.

How to Delete a Reservation

  1. Go to your "My Reservations" page.
  2. Find the specific reservation you wish to cancel from the list.
  3. Click the "Delete" button next to the appointment.
  4. A prompt will ask you to confirm the cancellation. Click "Yes" to confirm.

Important: Please be courteous to other users. Cancel your reservations as far in advance as possible to free up the time slot. [Terms and Conditions 3.2. "Reservations must be canceled no later than 24 hours before the scheduled time if the user cannot attend."]

🔭 Viewing Microscope Details

You can browse all available microscopes and their specifications before booking.

  1. Once logged in, navigate to the "Microscopes" page from the main menu.
  2. You will see a list of all available instruments.
  3. Click on any microscope's name (e.g., "Leica Stellaris") to view its details.
  4. Click on the "Viev Details" button to list important information, such as:
    • 📸 An image of the microscope
    • 📍 Its location (e.g., Building A, Room 404)
    • ⚙️ Key specifications (e.g., magnification, objectives, available techniques)
    • 📜 Special usage rules or requirements.

  1. Navigate to the "Contact" page.
  2. Fill out the form with your name, email, and a detailed message describing your issue.
  3. Click "Send Message".
